The reception desk is often the first place a patient meets the clinic. It is also where many administrative tasks meet: inquiries, appointments, records and handovers. A few agreed routines can help the team keep track of that work.

1. Start with a shared opening checklist

Agree who checks the day’s appointment schedule, changes and administrative follow-ups. Keep the checklist brief enough to use, and make it clear who owns each task.

2. Use a consistent appointment workflow

Ask the information your clinic needs for coordination, confirm arrangements clearly and record changes in the approved system. Refer questions about clinical suitability to the appropriate clinician.

3. Make handovers visible

When a task moves from one colleague to another, record what is needed, who is responsible and whether it is complete. Use the clinic’s approved tools and include only information needed for the task.

4. Agree how concerns are escalated

Reception staff should know who to contact when an inquiry needs clinical attention or a complaint needs a manager. Use protocols approved by your own clinic; this article does not define clinical triage.

5. Review one recurring problem together

Choose a practical issue, such as an unclear handover or repeated scheduling correction. Discuss the workflow, agree one change and revisit it with the team. Keep the focus on the process and the support people need.

Take it into your learning plan

  • Make daily responsibilities visible.
  • Use approved communication and record systems.
  • Turn a recurring administrative problem into a learning goal.
